Accounts Payable Specialist
- Review all invoices for proper approvals, coding, and any other necessary supporting documentation
- Perform three-way match between Vendor Invoices, Purchase Orders, and Receiving Documentation
- Enter invoices into accounting system
- Research and troubleshoot invoice and employee expense report issues such as outstanding credits, open and past due invoices, and items pending approval
- Recognize discrepancies between Purchase Orders, Vendor Invoices, and Vendor Packing Lists, and work with Warehouse Manager and Purchasing department to resolve issues
- Produce weekly payment runs
- Maintain well-organized filing system for Accounts Payable documentation and vendor records
- Assist Human Resources department with light administrative work as needed
- Reconcile vendor account statements and respond to vendor requests in a timely manner
- Ensure correct documentation is obtained for new vendors
- Assist in preparation of annual 1099 forms
- Match daily cash deposits to bank activity statements and quickly resolve discrepancies on a daily basis
- Collect daily Cash Over/Short report from stores, ensure that Store Managers research discrepancies, and collaborate with Operations, Store Managers, and Loss Prevention team to resolve issues
- Other duties as assigned
- Two years of experience in an Accounts Payable role
- Excellent attention to detail
- Ability to discover efficiencies and process improvements in daily tasks while maintaining accuracy
- Strong organizational skills
- Proficiency in problem investigation and resolution
- Proficiency in Microsoft Office
- Proficiency with Excel spreadsheets and formulas
- Ability to prioritize and perform multiple tasks simultaneously
- Ability to perform mathematical calculations and review documentation for reasonableness
- Customer service oriented with vendor relationships
- Team oriented attitude and willingness to assist Accounting/HR staff to ensure task completion.
Salary Range
- $22-$25 per hour
